Front Desk

The main circulation screen for issuing, returning and renewing library items.

The Front Desk is the day-to-day hub of library circulation. From a single screen you can identify a member by scanning or typing their barcode, issue items to them, process returns, and handle renewals. The screen also displays the member's current loan status, any outstanding fines, and alerts you if a returned item is bespoken (reserved) by another member.

Issuing Items

Issuing follows a two-scan workflow: first identify the member, then scan each item to be loaned.

  1. Navigate to Circulation โ†’ Front Desk.
  2. Place the cursor in the Member barcode field and scan or type the member's barcode, then press Enter. The member's name, photo (if loaded), and current loan summary appear in the Member Status panel on the right.
  3. Confirm the member's identity, particularly if they are borrowing on behalf of someone else.
  4. Place the cursor in the Item barcode field (it may move there automatically) and scan the first item's barcode. The item title, author, and due date are displayed and the loan is recorded instantly.
  5. Continue scanning additional items. Each scan appends a new row to the issue list for the current session.
  6. When finished, click Print slip to print a receipt listing all items issued and their due dates, or simply clear the screen to serve the next member.

Quota enforcement. The system checks the member's lending privilege (quota, days, renewals) at the moment of issue. If the member has already reached their quota for a particular publication type, the system will display a warning and prevent the loan. Adjust the member's privileges via Members โ†’ Privileges if a permanent change is needed, or contact a supervisor for a one-off override.

If a member has outstanding fines above the block threshold configured in Parameters, the system will display a fine-block warning before allowing any new issues. Collect or waive the fine via Circulation โ†’ Outstanding Fines before proceeding.

Returning Items

Returns can be processed with or without identifying the member first. This allows you to clear a drop-box of returns quickly.

  1. Click the Return tab or button on the Front Desk screen.
  2. Scan the item barcode. The system looks up which member had the item on loan, calculates any overdue fine, and discharges the loan.
  3. If the item is overdue, a fine notification appears showing the amount due. The fine is posted to the member's account automatically.
  4. If the item is bespoken by another member, a Bespeak alert appears (see Bespeak Notifications below). Set the item aside for collection.
  5. Repeat for each item in the return batch.

You do not need to identify the member before returning items. Scanning the item barcode is sufficient โ€” the system retrieves the loan record automatically.

Item returned on time Loan discharged; item status set to Available.
Item returned overdue Loan discharged; fine calculated and posted to member account.
Item bespoken by another member Loan discharged; bespeak alert displayed; item status set to On Hold.
Item not found in system Error message displayed; item is not discharged. Check the barcode or catalogue record.

Renewals

A renewal extends the due date of an item currently on loan to the same member, without physically returning it. Renewals are subject to the privilege limits set for the member's type.

  1. Identify the member by scanning their barcode in the Member barcode field.
  2. Click the Renew tab or button.
  3. Scan the item barcode, or select the item from the member's current loan list displayed in the Member Status panel.
  4. The system checks the renewal count against the member's privilege limit. If renewals remain, the due date is extended by the standard loan period and a confirmation message is shown.
  5. If the maximum number of renewals has been reached, the system displays a renewal-limit warning and the item cannot be renewed. The member must return the item.

Bespeak blocks renewal. If another member has placed a bespeak (reservation) on the specific title, the system will prevent renewal and prompt the current borrower to return the item.

Member Priya Naidoo attempts to renew To Kill a Mockingbird for a third time. Her Member Type privilege allows a maximum of 2 renewals. The system displays: "Renewal limit reached โ€” this item cannot be renewed again. Please return the item."

Member Status Panel

Once a member is identified, the right-hand panel shows key account information at a glance.

Panel element Description
Member name Full name as recorded in the Members register.
Member Type / Category The member's primary type (e.g. Grade 8) and category (e.g. 8B).
Photo Displays the member photograph if one has been uploaded.
Current loans Number of items currently on loan versus the member's quota.
Overdue items Count of items past their due date, highlighted in amber or red.
Outstanding fines Total fine balance on the member's account.
Active bespeaks Number of reservations the member currently has waiting.

Click on Outstanding fines or Overdue items in the panel to jump directly to the relevant circulation screen for that member, pre-filtered to their account.

Bespeak Notifications

When a returned item is subject to an active bespeak (reservation) by another member, the Front Desk displays a prominent alert so you can set the item aside for collection.

  1. Scan the item barcode during a return. If a bespeak exists, a coloured alert box appears: "This item is reserved for [Member Name] โ€” please hold it at the desk."
  2. The item's status is automatically set to On Hold, preventing it from being issued to anyone else.
  3. Notify the reserving member that their item is ready. You can do this via Circulation โ†’ Bespeaks, which provides an email notification option.
  4. When the reserving member arrives, scan their barcode on the Front Desk and issue the item normally.

Keyboard-first workflow. The Front Desk is designed for rapid barcode scanning. Ensure your barcode scanner is configured to append a carriage return (Enter) after each scan so the cursor moves automatically between the Member and Item fields without mouse clicks.

Manual entry. If a barcode is damaged or unreadable, you can type the accession number or member number directly into the relevant field and press Enter.
