This will expain how to setup Membership Fees so that the management of the dates and fees due are efficiently managed.
Member Type
Each Member Types can have subscription fees and a subscription cycle. If the fees are zero, then no fees will be charged.
This must be set up under the menu Members, Membership Fees
Under this menu option, all the members can be managed. However, we will cover how each member is managed in a differnt way.
Maintain Members
In the menu Members, Maintain Members, when a member is displayed, there is a Membership Fees tab.
Previous Fees, Current Fees and Due Fees are displayed
Outstanding Fees Amount
If previous membership fees have been levied but not paid, this will be displayed
Fees Due Date
This is the date, When membership expires and fees become due.
Curent Membership Fees
This is the amount, based on the Membership Type, whick will be debited to the members account.
Fine and Days Per Fine
Renewing a Membership
If the Fees Due Date is less than six months away, and the Outstanding Fees Amount is zero, the membership can be renewed by clicking the RENEW button.
The Current Membership Fee will be debited to the member's account and the Fees Due Date will be increased by the Subscription Cycle and the Outstanding Fees Amount> will have the amount due for payment.
Payment for a Membership
If the Outstanding Fees Amount is not zero, the amount can be paid. The member's account will be credited by this amount. The Fees Paid Date will be updated together with the Fees Paid Reference
Renewing and Payment
Both the above steps can be done in one action using the Renew and Pay button. This will debit and credit the members account and increment the next due date.
