This explains how to print barcodes using Papyrus. Please follow these instructions carefully as we cannot support you with your specific printer.
Setting up the barcode label printing format
Before you start printing barcodes on a laser printer, you need to choose a barcode format. This is done by selecting Parameters, General Parameters, Barcode Settings.
Once you have done a test print and the barcode format is correct you can then move onto the next step.
Deciding which barcoding method will be used
There are two ways to manage the use of barcodes in Papyrus. You will need to choose one that suits how you operate your library.
The first would be to let Papyrus provide you the next barcode number. The second method is to preprint barcodes.
Method 1 - Letting Papyrus allocate barcodes
The barcode number is made up of two parts. The first is an optional Prefix followed by a Number which increments with each new barcode
Each time you create a new stock item, Papyrus will allocate a new accession number and new barcode. You can specify that the Accession Number is the same as the Barcode number if you wish.
You will need to set up the Barcode Prefix, Next Barcode Number and the Barcode Length in the Parameters tab of the menu option Parameters, General Parameters, Global Parameters
For example
A barcode number 123 which has a length of 6 will create a barcode 000123 by padding zeros onto the beginning of the number to ensure the barcodes sort correctly.
If you add a prefix to the barcode such as ML then the barcode would be ML0123. If you increase the Barcode Length to 8, the barcode would then be ML000123
Papyrus keeps a record of which barcodes have been printed. You can then print these barcodes to a PDF and print to a printer. Once you are satisfied that they have been printed correctly, you can Mark them as Printed and they will be excluded from the next print. You can print these barcodes from the menu Cataloguing, Barcode Labels
You can also decide how many Pages you wish to print, the Starting Row and Starting Label to print on partially printed label paper.
Once you are satisfied they have been printed correctly, use the button Mark to Mark all new books as printed. If you wish to reprint the last few labels again, specify the number of labels in the Except the last field and click the Mark button again.
Make sure you apply the correct barcode to the correct book.
Method 2 - Preprint barcodes
In many ways this is the easier option as you can apply the label to the book as you catalogue. However, you must make sure you don't generate barcode numbers that already exist. You will also need to record which barcode numbers you have printed.
Using the menu option Cataloguing, Barcode Labels, look at Method 2. You will need to specify how many pages of barcode labels you wish to print, the Prefix, Starting From number, and the Barcode Length
For example
Let's say the next barcode number is 1000, has a length of 6 and a prefix ML. The barcode paper is 3 labels across by 8 down (24 per page). Then the barcode would be ML1000. If we printed 10 pages, then 240 labels will be printed starting at ML1000 and ending at ML1239. You will need to record that the next number you will start printing from is 1240
After each book is catalogued, instead of Papyrus allocating a barcode to you, peel off the next barcode and scan (or type) into the stock tab of EasyCAT.
